Triferto: process improvement with more insight and control

Challenges

We ran into two problems. First of all, we were still doing a lot of checks and administrative work manually in Excel. That was costing us a lot of time every day, and in addition, it remains error-prone, especially when it's busy.

And busy we really are because of the seasonal work. Everything peaks in the spring. We work with extra people for the operation, but it doesn't work as well for the administration. The work is specific and you have to know Exact and our agreements well. In the peak season, colleagues were sometimes spending up to six hours a day doing manual checks.

So we were looking for a way to automate those recurring activities so that we could better handle the peak season and have more certainty that the checks always happen.

Why Peacock?

"Peacock was a good fit for what we were looking for. We didn't want a standard solution, we wanted to build something together that fits our way of working. What was decisive for us was that we could really co-develop.

We actively participated in the construction and gained knowledge ourselves. As a result, we are now not dependent on an external party for adjustments. We can adapt scripts and develop new automations ourselves.

And for new, more complex scripts, we can work together with and build on the expertise offered by Peacock. That practical approach and thinking along on content gave confidence."

The solution

"Together with Peacock, we built several RPA solutions, with invoice checking as a key component. The robot automatically checks invoices for price, item and VAT, exactly according to the agreements we have with customers.

For direct deliveries, the robot retrieves data from the supplier portal, such as products and weight, and puts it into Exact automatically. We used to do all that by hand.

In addition, the robot runs checks on production orders every evening. It looks at what has been booked in Exact and checks that everything is correct. That way we know where we stand every day."

"We work as a wholesaler of mineral fertilizers. In other words, fertilizers. We have several warehouses in the Netherlands and Belgium and are therefore active in France and Germany.
